Understanding CMS Collections: A Friendly Guide

CMS Collections explained — like a filing cabinet for your website.

What's a CMS Collection? (The Basics)

Think of a CMS Collection like a filing cabinet in your office. Each drawer is designed to hold a specific type of document – one for invoices, one for client files, one for receipts. A CMS Collection works exactly the same way, but for your website content.

Instead of creating individual pages one by one (which would be like writing out each invoice by hand every single time), we create a template once, and then the details get filled in for each new item. The website does the rest.

A Real-World Analogy

Imagine you run a bakery and want to display your cakes online. You could:

Option 1: The Manual Way

  • Create a separate page for "Chocolate Cake"

  • Create another page for "Victoria Sponge"

  • Create another for "Lemon Drizzle"

  • Repeat 50 times...

Each time, you'd need to add the photo, write the description, add the price, format everything to look consistent. Exhausting, right?

Option 2: The CMS Collection Way

  • We create ONE template that says: "Every cake page should have a photo here, name here, description here, price here"

  • New cakes get added to the collection by simply filling in those details

  • The website automatically creates beautiful, consistent pages for each cake

That's the magic of CMS Collections.

Common Examples You'll Recognise

Blog Posts

Every blog post has the same structure:

  • Title

  • Author

  • Date published

  • Featured image

  • Article content

  • Categories/tags

We design the template once, then new posts just need the content. The website handles the layout, formatting, and even creates an archive page showing all your posts.

Team Members

Your "Meet the Team" section might show:

  • Photo

  • Name

  • Job title

  • Bio

  • Email address

Add a new team member? Just the details are needed. No need to rebuild the entire page.

Services or Products

Each service you offer could include:

  • Service name

  • Description

  • Price

  • Duration

  • Booking button

Add a new service without touching any code or design – just the information.

Testimonials

Client reviews that include:

  • Client name

  • Company

  • Quote

  • Star rating

  • Photo (optional)

Events

Upcoming events with:

  • Event name

  • Date and time

  • Location

  • Description

  • Ticket link

Why This Matters for Your Website

1. Consistency

Every item looks professional and matches your brand because they all use the same template.

2. Time-Saving

Adding new content takes minutes, not hours. No designer or developer needed for routine updates.

3. Flexibility

Want to change how all your blog posts look? We update the template once, and every post updates automatically.

4. Organisation

Filter, sort, and display your content in different ways. Show only "upcoming events" on your homepage, but "all events" on your events page.

5. SEO Benefits

Search engines love well-structured, consistent content. Collections help with that automatically.

How Content Gets Added

There are two ways to manage your CMS Collections, depending on what works best for you:

Option 1: You Have Editor Access

If you have editor access to your website, you can add content yourself:

  1. Go to your CMS Collections

  2. Click "Add New" in your collection (e.g., Blog Posts)

  3. Fill in the fields (title, image, content, etc.)

  4. Click "Publish"

Done! Your new content appears on your site, beautifully formatted and consistent with everything else.

Option 2: We Handle It For You

Prefer to stay completely hands-off? No problem! Simply send us the content and we'll add it for you using one of your WebCare task credits.

Just pop the details in a task request:

  • What collection it's for (blog post, team member, service, etc.)

  • The content (text, images, links)

  • When you'd like it live

We'll handle the rest and let you know when it's published.

The choice is yours. Some clients love the freedom to update their own content whenever inspiration strikes. Others prefer to send everything to us and never think about the technical side. Both work perfectly with CMS Collections.

What You Can Do vs What We Do

If you have editor access, you can:

  • Add new content to your collections (blog posts, team members, services, etc.)

  • Upload images and write copy

  • Publish and unpublish items as needed

  • Edit existing content

If you prefer us to handle it, we can:

  • Add all your content for you (using your WebCare task credits)

  • Make updates and changes as you send them through

  • Keep everything looking perfect

Either way, we always handle:

  • Creating and designing the collection templates

  • Editing template layouts and styling

  • Adding new fields or collections

  • Any technical changes to how collections work

  • Troubleshooting and fixes

Think of it like this: we built the form and keep it working perfectly. You choose whether you want to fill it in yourself or have us do it for you.

What's Included in Your digiDen WebCare Plan?

Common Questions

Q: Do I need editor access to have CMS Collections? Not at all! We can add and update all your content for you using your WebCare task credits. Editor access is purely optional for clients who want hands-on control.

Q: How many task credits does adding content use? Each content addition (like a blog post or new team member) counts as one task (up to 30 minutes of work). Most simple additions take far less time than that.

Q: Can we edit the template after content has been added? Yes! Any changes we make to the template update all existing items automatically. Just let us know what you'd like to change.

Q: What if I need a field that's not in my template? That's where your WebCare task credits come in. We can add new fields to your collection as your needs grow – just submit a task request.

Q: Can collection items be displayed in different places? Absolutely. We can set it up so your latest 3 blog posts show on your homepage, all posts on your blog page, and related posts at the bottom of each article.

Q: Is this different from a page builder? Yes. A page builder creates individual pages. A CMS Collection creates a system for managing similar content efficiently. We build the system, and content gets added either by you or by us.

Q: What if something breaks? The template controls the design and structure, so content additions can't break anything. If something does go wonky, we're here to sort it.

The Bottom Line

CMS Collections turn your website from a static brochure into a dynamic, easy-to-update tool that grows with your business. Everything stays beautifully consistent with your brand, and you choose your level of involvement.

Want to be hands-on? We'll give you the tools and training. Prefer to be hands-off? Send us your content and we'll handle everything. Either way, we handle all the technical bits – building templates, adding fields, making design changes – so your website always works perfectly.

Think of it as the difference between writing each letter by hand versus having headed notepaper and a template – same professionalism, fraction of the effort.
